PERSONAL DATA PROTECTION ACT POLICY 

Suntec-RES and its business units in Singapore (collectively referred to as “us”, “we”, or “our”) are committed to complying with the Singapore Personal Data Protection Act (“PDPA”) (Act 26 of 2012) and all its subsequent amendments, including those introduced by the Personal Data Protection (Amendment) Act 2020 and further regulatory updates through 2025-2026. We align with the advisory guidelines issued by the Personal Data Protection Commission (“PDPC”), including: 

  • Advisory Guidelines on Key Concepts in the PDPA (revised May 2022); 
  • Advisory Guidelines on the PDPA for Selected Topics (revised 23 May 2024); 
  • Advisory Guidelines on the Use of Personal Data in AI Recommendation and Decision Systems (issued 1 March 2024); 
  • Advisory Guidelines on the PDPA for Children’s Personal Data in the Digital Environment (issued 28 March 2024); 
  • Advisory Guidelines on the PDPA for NRIC and Other National Identification Numbers; and 
  • PDPC Proposed Guide on Synthetic Data Generation (July 2024). 

This Policy reflects governance standards applicable to professional property management companies and commercial landlords operating in Singapore. As a professional services provider, this Policy is reviewed in alignment with data governance best practices to ensure a secure environment across all managed assets, including retail, office, and integrated developments. 

1. Your Personal Data 

1.1 “Personal Data” refers to any data about you from which you can be identified. Depending on your interaction with us, this includes:  

(i) Identity & Contact Data: Name, NRIC/Passport number, date of birth, telephone number, mailing address, and email address;  
(ii) Technical & Usage Data: IP address, browser type, device identifiers, and information on how you interact with our websites and apps;  
(iii) Transaction & Loyalty Data: Payment details, purchase history, e-vouchers, and loyalty point records (e.g., Suntec Rewards / Suntec+);  
(iv) Professional Data: Employment and education history (for job applicants, vendors, or contractors);  
(v) Location Data: Precise or approximate location information if enabled on your mobile device. 

1.2 We practice data minimisation — collecting only what is reasonably necessary for identified purposes. 

1.3 Under Section 48F of the PDPA, unauthorised re-identification of anonymised information is a criminal offence. 

2. Collection of Personal Data 

2.1 Generally, we collect your Personal Data in the following ways:  

(i) When you submit contact, enquiry, or feedback forms;  
(ii) When you use location-based features in our managed properties; 
(iii) When you register for an account on our websites or mobile applications (e.g., Suntec+);  
(iv) When you use location-based features in our malls or via our apps;  
(v) When you interact with our officers via meetings, telephone, or email;  
(vi) When you visit our premises (captured via CCTV) or attend events (captured via photography/videography). 

2.2 We will notify you of the purposes for collection at or before the time of collection. 

2.3 For individuals under 18, we take steps consistent with the PDPC’s Advisory Guidelines on Children’s Personal Data (March 2024) to ensure practices are age-appropriate and privacy-preserving by default. 

 

3. Use and Disclosure of Personal Data 

3.1 We process Personal Data to provide services, manage tenancies, verify identity, and respond to queries. We also use data to operate AI-based recommendation or decision-support systems in a manner consistent with the March 2024 PDPC AI Guidelines, ensuring transparency and fairness. 

3.2 Exceptions & Legitimate Interests: We may process data without consent for fraud prevention, crime investigation, or evaluating business operations (Section 15A), or for business improvement activities (Section 15B) where assessed as low-risk to individuals. 

4. Withdrawal of Consent & Mandatory Notification 

4.1 You may withdraw consent at any time by contacting our DPO. Note that withdrawal may result in our inability to continue providing certain services or platform features to you.  
4.2 In the event of a data breach, we will conduct an assessment and notify the PDPC and affected individuals if the breach is deemed notifiable under the Mandatory Data Breach Notification Obligation. 

5. Do Not Call (DNC) Provisions 

5.1 We comply with DNC Registry requirements. We will only send marketing messages to your Singapore telephone number if you have provided clear consent or if permitted under an existing business relationship. 

6. Cookies, Tracking, and Cross-Border Transfer 

6.1 We use cookies and tracking technologies to analyse trends and track user movements.  

6.2 We may transfer, store, and process your personal data in countries outside Singapore. We will ensure that any such transfer is compliant with PDPA standards to provide a comparable level of protection. 

7. Storing and Security of Personal Data 

7.1 We hold Personal Data in secure computer storage and paper-based files. Data is destroyed or anonymized when no longer required for legal or business purposes.  

7.2 While we take reasonable steps, you acknowledge that no system is entirely immune from cyber-attacks or external risks.
